Moving office Tips and a Handy Checklist

 Moving home or office is hard work and there is so much to plan ahead and think of that sometimes it can keep you up at night. The best way to take the stress off the process is to hire some professional movers to help with it all and to create yourself a moving office checklist to tick off as you get it done. That way you know where you are in the process, it keeps you on schedule, you do not forget anything and you can feel that sense of satisfaction as you tick them off! No matter the size of the office relocating can be made a lot easier with the following checklist.

Moving office checklist

Ahead of move

  • Make sure the new location is finalised
  • Let your current landlord know if your moving date
  • Let employees know about the move, where you are going and when it is happening

1 to 2 months before the move day

  • Research what removalist you want to hire for the day and book them
  • Look into what internet and telephone service you want in the new premises and hire them
  • Let your insurer know about your move and where you are going, check insurance coverage for the move
  • Create a moving team and assign them areas of responsibility
  • Have your mail forwarded to the new address and change your address with the post office
  • Let vendors know about your relocation including your current phone and internet provider, your photocopy service, your water service, and magazine and newspaper subscriptions and so on
  • Let other important organisations and people know about the move including your banks and other financial institutions, professional organisations, accounts payable and receivable, clients and customers
  • Decide where office equipment is to be placed in the new location
  • Create a new office and seating layout

2 to 3 weeks before the big day

  • At the new location hold a meeting with everyone involved, IT people, cable people, moving people, designers, and if there are any construction people to make sure everything is on track for completion
  • Give employees instructions for moving day
  • Organise people to unpack equipment, cabinets, storerooms and such
  • Make sure there are plenty of places for throwing out things and recycling bins for papers not needed
  • If needed book the elevators and loading dock at both the old and new premises
  • Send out new IDs and access cards to employees
  • Make a date for employees to have a tour at the new place
  • Make sure the company address on your website and official pages online is updated

Seven days before move day

  • Have an emergency contact list made for important vendors
  • Buy packing supplies or you might get these from your removalist company
  • Start packing and if removalists are helping with packing talk to them about their services

24 hours to 48 hours before the move

  • Make sure all boxes packed are correctly labelled
  • Confirm all vendors with their times for arrival or completion including the movers
  • Remove the phone system and computer equipment that you can

On the day

  • Make sure at the new building the aircon is turned on if it is a hot day
  • Put up whiteboards and other wall items at new location
  • Test the phone systems and internet once it is in

After the move

  • Walkthrough everything to make sure it is all working and there is no damage after the move
  • Collect in the olf passes and ID cards from the last location
  • Make sure all addresses have been changed
